STANDARD TERMS AND CONDITIONS OF SALE
Viver Fragrância Standard Operating Procedure, 7 February 2022
Order Procedure:
All orders must be submitted every Monday and Wednesday before 12 pm. If either of these days falls on a public holiday, you will receive the invoice the following business day. If a product is not in stock for any reason, a lead time of 7-14 business days can be expected for the stock to arrive. Dispatch of stock will occur on Tuesdays and Thursdays. In case of an emergency, please contact your representative directly.
Parcels requiring courier services across Namibia will be at your own cost based on the courier used. Deliveries in Windhoek will be charged at N$80 per delivery. Orders exceeding N$10,000 will not be subject to a delivery fee within Windhoek.
More than two amendments per invoice will incur an administrative fee of N$250 per amendment. Ensure that you have sufficient stock on hand for clients with specific product preferences.
Note: Stock will only be dispatched once the transaction reflects in our account. Viver Fragrância will no longer operate on proof of payments. Cash payments are not accepted. No stock will be sent, picked up, or delivered if the payment has not reflected in our account. Invoices not paid or cancelled within 48 hours will be automatically cancelled.
Short-hand stock: Viver Fragrância Distribution takes no responsibility for unsold stock by the stockist. Stock cannot be credited, returned, or exchanged.
Aged stock: When stock begins aging, it is advisable for the stockist to boost advertising on social media for those specific products. The stockist is responsible for identifying aged stock and planning promotional activities. Running sales on products requires prior submission and approval from the representative and/or distributor.
Stockists are not allowed to retail any product supplied by Viver Fragrância at prices lower than the suggested retail prices without written approval. Legal steps will be taken against stockists who violate this policy.
Viver Fragrância and/or representatives will assist on promotional days when possible. Schedule promotional days well in advance for proper planning and satisfying results.
Client care tip (staff to clients): Familiarize yourself with the products to build trust with clients. Read the product manual and consult your representative if unsure. For refresher training, contact your Viver Fragrância representative to schedule a day and time.
Return Policy: There is no return policy. Check stock before giving it to the client.
Damaged stock: Viver Fragrância ensures all stock is up to standard before delivering it to stockists. It is advisable for stockists to obtain courier insurance if products need to be couriered, as Viver Fragrância will not take responsibility for stock damaged by the courier company or the stockists. If stock is received in good condition but damaged by the stockist or the client, the staff member is required to take full responsibility for the damaged stock.
Business Hours:
Viver Fragrância is closed on Saturdays and Sundays. Stockists are welcome to contact their representative Monday - Friday from 09:00 to 17:00. We would encourage you to plan accordingly.
